For trucking fleets

Every truck’s records.
The papers in the cab.
Ready if someone asks.

FleetCare PRO is where you keep each truck and trailer’s file — repairs, inspections, insurance, and the papers a driver must carry. When an officer stops a truck, you print the papers. When an auditor is in the shop, you give them a temporary login so they can review the records themselves.

Truck and trailer records

One file per truck. Everything in one place.

Add a truck or trailer in about a minute. You keep the year, make, VIN, who owns it, when the annual inspection and plates are due, and every repair. When work is done, the reminder clears. Dates that have passed show in red, so you do not have to hunt.

  • See the fleet as photo cards, or as a list you can scan for dates and cost.
  • When a truck is in the shop, one visit can cover several jobs — and who did the work.
  • If a repair can wait, save it as planned work. Open it later, or drop it if you skipped it.
  • Keep an accident file with photos and the reports you sent in.

What the driver carries

Print the real papers — not a checklist.

A driver needs the actual insurance card, fuel-tax license, and registration in the truck — not a page that only names those documents. You upload the scans once. Insurance, IFTA, and the UCR filing are one copy for the whole fleet. The annual inspection and Form 2290 belong to each truck. Print them for the cab, or send the files.

  • Open a document to change the date or upload a new scan. You see the file before it saves, so you know you picked the right one.
  • Print a set for the truck, or download the files to email.
  • Inspection forms can be filled on a phone, signed with a finger, and printed. Blank copies are there too.

During an audit

You do not have to print every file, every receipt, and build a report.

Turn on Inspector access, set a temporary password, and send it to the auditor. They sign in, check “I am an investigator,” and review the maintenance records with you — or on their own. They print the truck they asked for, the receipts they need, the papers they want. You are not standing at the copier.

You stay in control. Pick what they may open and when the password expires. They can only look; they cannot add, change, or delete anything.

If you run safety for the company

Every truck and trailer under your DOT number — including ones you lease from someone else. One list of what is due. One email when something is late, coming due, or a paper is missing.

If you own the trucks

Your trucks and trailers, whether you have your own authority or you run under someone else’s. Keep the file for taxes, warranty, selling a unit, and the next carrier.

If you are the auditor

You get a temporary password. You open the trucks, repairs, papers, and accidents the company allowed. You print what you need. You cannot change a record. The company sees that you signed in.

The trucks are already on the road.

Open your fleet’s own account in a minute, or sign in to the one you already have. An auditor uses the sign-in page, checks “I am an investigator,” and uses the temporary password you sent.
